The thing I need help with is the number of people I will be photographing. Instead of 10 it's more like 75. A company wants headshots for all of their employees in 6 branches located in NorCal and San Francisco. I will be driving at least an hour to the 6 locations. The pictures will be used for web, not billboards or bus ads.
How would you go about pricing this?
I would split your invoice into three categories. The first is your creative fee. How much will it actually cost to hire you for all those headshots? Lets say 75 employees x $300. So about $22,500. I have no clue what you charge so alter to taste. Apply bulk discount as you see fit.
Next, setup a separate category for expenses. Factor in time spent travelling, gas, retouching, hair and make-up, etc, etc, etc.
Lastly create a category for licensing to price out an appropriate usage rights agreement for them.
And that is all there is to it.
What kind of licensing would that include if any? Just the web usage from what it sounded like? I would assume they'd be getting all 75 employees with a 1 final fully edited image right? High res. or no? I would expect that if they're using them for online advertising, if not and just straight images on like a roster page web should be fine. I totally agree Peter though in his math. I do it like normal cost of my headshots, let's say $300, I don't have my bulk discount to specific science yet as I don't have these requests usually so I got the typical 2-4, 5-7 and 9+ per person rates and apply discounts for those groups. But keep in mind to ensure who is cordinating the entire thing are they or are you, as the coordination to getting the specific employees coming to your spot at specific times, etc. Which I would add on the cost for that for this large of a number, heck I may need to hire another person to handle that too like an assistant depending much time for deadlines for production. And of course travel especially to 6 locations.
